1. Service provider
AIMS (AI Monitoring System) is developed and sold by Workflo (sole trader, Ireland). Contact: info@workflo.hu
2. Description of service
AIMS is a desktop software application that monitors and identifies AI tools running on company devices in real time, and automatically classifies them according to EU AI Act risk categories.
The administrator may optionally set a blocking rule: AIMS then terminates the designated AI tool in real time on the managed machine, and in the browser the AIMS browser extension (Chrome/Edge) redirects the restricted AI site to a notice page. The browser extension is part of the service.
AIMS is available in three subscription plans:

3. Subscription and payment
- Every plan starts with a 7-day free trial. A valid credit or debit card is required to start the trial.
- When the trial ends, the subscription activates automatically and the selected plan fee is charged; it then renews automatically (monthly or annually).
- Payments are processed via Stripe, monthly or annually. The annual subscription equals 10 monthly fees (2 months free).
- Annual subscriptions are billed in full upfront.
- Subscriptions can be cancelled at any time via account settings; access remains active until the end of the current period.
4. Installation and use
- AIMS runs on macOS 12+ and Windows 10/11.
- The application runs in the background, monitoring active processes and network connections.
- AIMS only records AI tool name, category, and risk level — never personal data, communications, or file contents.
- On the Guardian and Shield plans the administrator may block (terminate in real time) certain AI tools on managed devices; browser-level blocking uses the AIMS browser extension, deployable via company policy (Google Workspace / GPO / MDM).
- AIMS may only be installed on employer-owned / company devices, with prior notice to employees concerned.
- Lawful basis: monitoring and blocking rely on the employer's legitimate interest and the employer's AI usage policy (GDPR Art. 6(1)(f)). Blocking applies only to employer-owned / managed devices and to work-related AI tools, with prior notice to employees, consistent with EU AI Act transparency principles.
5. Intellectual property
AIMS software and all its components (code, design, logo, database) are the exclusive property of Workflo. Subscription does not transfer intellectual property rights. Copying, reverse-engineering, or modifying the software is prohibited.
6. Limitation of liability
Workflo is not liable for:
- Damages arising from AI tools not detected by AIMS.
- Consequences of the user's failure to comply with the EU AI Act.
- Data loss due to force majeure (server failure, network outage).
Workflo's liability is limited to the subscription fee for a single billing period.
7. Availability
Workflo targets 99.5% uptime for the AIMS server-side but does not guarantee it. Subscribers will be notified of planned maintenance in advance.
8. Termination
- By user: at any time; access remains active until end of current period.
- By Workflo: with 30 days' notice, or immediately in cases of serious breach.
- Upon termination, data is retained as specified in the Privacy Policy.
9. Governing law and jurisdiction
These Terms are governed by Irish law. Disputes are subject to the jurisdiction of Irish courts, unless applicable consumer protection laws provide otherwise.
